DDS Web Solutions is a digital marketing agency headquartered in Sacramento, California with an additional office in San Mateo, California. We provide website design, search engine optimization, paid advertising, social media management, branding, reputation management, call tracking, HIPAA-aware web forms, and related services for dental and medical practices across the United States.

Information You Provide Directly

When you fill out a contact form, request a quote, request a proposal, sign up for a consultation, or otherwise communicate with us, you may provide information such as your full name, business or practice name, email address, phone number, practice website URL, mailing address, service interests, budget range, project details, and any message content you submit. If you become a client, we also collect billing information, authorized signatory details, and the credentials or access we need to perform the services you have contracted for.

Information Collected Automatically

When you visit the Site, we and our analytics providers automatically collect certain technical information, including your Internet Protocol (IP) address, approximate geographic location derived from your IP, browser type and version, operating system, device type, referring and exit pages, search terms used to reach the Site, pages viewed, time spent on pages, clicks, scrolls, and timestamps of your visit.

Information From Third Parties

We may receive information from third-party platforms we use to deliver services, such as Google Ads, Meta (Facebook and Instagram), Yelp, LinkedIn, call-tracking providers, review-management platforms, third-party form providers, and reporting dashboards. Google Tag Manager

We use Google Tag Manager to manage tracking tags and measurement scripts on the Site. Google Tag Manager itself does not collect personal information, but the tags it deploys may.

Advertising and Conversion Tracking

We and our clients may use advertising cookies and conversion pixels from Google Ads, Meta, LinkedIn, Microsoft Advertising, and similar networks to measure ad performance and, where permitted, serve interest-based advertising. Where required, these vendors collect information subject to their own privacy policies.

Your Cookie Choices

Most browsers allow you to refuse or delete cookies through your browser settings. You can also control tracking preferences through browser-level Do Not Track and Global Privacy Control signals where supported. Disabling cookies may limit certain features of the Site.

6. Healthcare and HIPAA Considerations

DDS Web Solutions is not a healthcare provider, health plan, or healthcare clearinghouse and is not itself a HIPAA covered entity. When we provide services to dental or medical practice clients that involve the creation, receipt, maintenance, or transmission of Protected Health Information (PHI) on their behalf, we act as a business associate and enter into a Business Associate Agreement (BAA) with that client before any PHI is exchanged.

The Site itself is an informational business website. We ask visitors not to submit Protected Health Information, patient medical details, or clinical information through our contact forms, chat, or email. If you need to discuss patient data as part of an engagement, we will direct you to secure channels and applicable BAA terms.

7. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes described in this Privacy Policy, to comply with legal, tax, accounting, and reporting obligations, to resolve disputes, and to enforce our agreements. When we no longer need personal information, we securely delete, anonymize, or archive it. Specific retention periods depend on the type of information and the context in which it was collected.

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, and destruction. These safeguards include encryption in transit, access controls, principle-of-least-privilege permissions, vendor due diligence, and employee training. No method of transmission over the internet or electronic storage is one hundred percent secure, and we cannot guarantee absolute security.

9. Your California Privacy Rights (CCPA and CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA) gives you the following rights, subject to certain exceptions:

If we need additional time, we will notify you of the reason and expected response date within the initial 45-day period. You may use an authorized agent to submit a request on your behalf, provided the agent can demonstrate written authorization.

10. Children's Privacy

Our Site and services are directed to businesses and adults. We do not knowingly collect personal information from children under thirteen years of age. If we learn that we have collected personal information from a child under thirteen without verified parental consent, we will delete that information.
